About the Position:
OutSnapped is searching for a highly-organized, self-motivated person to join our team in the role of Administrative Assistant. As an Administrative Assistant, you’ll be our secret sauce — ensuring the magic is in the right place at the right time, every time. You’ll bring our photo experiences to life and help our team shine, by taking the everyday hurdles off their shoulders — from conceptual development all the way through live events. You’ll be working directly with OutSnapped’s founder and will also support the event teams.

Roles & Responsibilities:

  • Continuously improve administrative systems, studio productivity and processes for efficiencies, and keep procedures up-to-date and well-documented, ensuring they are communicated proactively to full-time staff, contractors and a wider audience of key stakeholders throughout the company.
  • Greet office visitors and point them in the right direction, answer inquiries, and create a welcoming environment
  • Develop, organize and maintain contact lists, files, databases and studio inventory in a confidential manner
  • Write letters and emails on behalf of other office staff and draft sales & customer service emails to potential and existing partners and clients
  • Plan and organize quarterly company events, anniversaries and birthdays.
  • Research and build potential client lists
  • Writing marketing-related copy for internal and external use
  • Onboard and offboard employees, contractors, and vendors and ensure all programs, management, and employee actions are in compliance with employment laws and applicable regulations.
  • Build and maintain an ecosystem of team camaraderie by setting the standard and planning team bonding initiatives, rewards programs, feedback systems, and other helpful resources.
  • Screen phone calls, redirect calls, and take messages
  • Schedule appointments, meetings, conference calls, rooms, taxis, couriers, hotels and reservations as needed
  • Receive deliveries; sort and distribute incoming mail
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Coordinate staff travel arrangements including transportation and accommodations
  • Provide information by answering questions and requests
  • Take dictation and meeting notes
  • Cover the reception desk when required
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
  • Get things done and be extremely organized without being asked. Be on top of things.
  • Must have keen attention to detail at all times. (especially for scheduling and doing emails)

Qualifications for Administrative Assistant:

OutSnapped is searching for a highly-organized, self-motivated person to join our team in the role of Studio Manager. As Studio Manager, you’ll be our secret sauce — ensuring the magic is in the right place at the right time to make our photo experiences come to life — from conceptual development all the way through live events.

Roles & Responsibilities:

  • Plan, manage and oversee the day-to-day execution of event and production logistics.
  • Continuously improve studio productivity and processes, and keep procedures up-to-date and well-documented, ensuring they are communicated proactively to full-time staff, contractors and a wider audience of key stakeholders throughout the company.
  • Direct oversight of studio operations, staffing, photography (including shooting product when necessary), and retouching.
  • Hire, train, develop future event teams
  • Manage in-house advertorial/social content shoots
  • Manage in-house and event calendars
  • Oversee day-to-day planning and schedule of studio and event teams
  • Coordinate logistics for event bookings and client meetings

OutSnapped is a custom photo & video experience company based in Brooklyn, NY, servicing corporate clients, event planners, and private event clients. In addition to 500+ in person events a year, since Spring 2020, OutSnapped has pivoted to meet the needs of virtual events around the country, bringing a fun and interactive element back to online events with its virtual photo booth platform, now servicing clients like HBO, Netflix, and LinkedIn.
The Role:

The Sales Manager is a client-facing role, responsible for converting warm inbound and outbound leads into customers through in-person meetings, product demos, proposals, and follow-ups that cater to the leads' needs.

This includes but is not limited to promoting in-person meetings, email, phone, networking events, and other sales opportunities. In addition, the Sales Manager is expected to attend and participate in OutSnapped events to better understand OutSnapped products and services.

The Sales Manager is expected to be a self-starter who actively opens doors and brings NEW business, comes up with strategies, implements them, and continuously modifies them until close rates are above industry standards.

The role works with the Founder/Creative Director to close new business and nurture clients and prospects. You will be achieving sales goals by assessing current client and prospects' needs and following a defined selling process with potential buyers.

Specific duties & responsibilities include but are not limited to:

   Sales:

  • Knowledge of the OutSnapped product inside and out and conduct demos that (1) position the value of the software/services/products and (2) tie leads pain points to OutSnapped’s solutions
  • Educate and guide prospects to help them learn how OutSnapped can help them achieve their event engagement goals
  • Manage an inbox of inbound leads from the OutSnapped general inbox
  • Send follow-up emails from inbound leads to secure booking demos in your calendar 
  • Determine top leads and work with the development team to create custom booths for demos
  • Follow up with prospects after demos with a proposal that fits their event needs and budget 
  • Assist with research on prospects for outbound sales campaigns
  • Assist with research on current clients or old accounts with the goal of reactivating dormant accounts
  • Achieve targets, increasing the company’s revenue and profit margin goals 
  • Bring your own ideas and strategies to help advance the company’s goals, values, and vision
  • Keep up to date on the event industry, trends, news, and key players 
  • Grow into a role that works with the SDR team to identify appropriate prospects, set appointments, make effective qualifying sales calls, and manage the sales cycle to close new business

   Clients:

  • Work with the founder to determine pricing for proposals and any negotiations, discounts, and promotions given 
  • Act as a liaison between the client and operations team to collect all assets, needs, and confirmed timelines for each event
  • Work with the operations team in ensuring that the clients' needs are being upheld in the development of their virtual photo booths and timelines are being met
  • Assist in any invoicing, payments, or past due collections
  • Maintain working relationships with existing clients to ensure exceptional service and identification of potential new sales opportunities

   Administration:

  • Research information about the prospect, their company, and industry before a demo 
  • Log and update information from the demos in the OutSnapped CRM 
  • Submit reports about demos and follows ups 
  • Attend daily/weekly/or monthly meetings with the co-founder and any additional employees or team consultants

The Candidate:

  • Goals and a target-driven individual who is eager to work in a sales role

Roles & Responsibilities:

  • Transport, set up, and break down OutSnapped Photo Activations
  • Monitor OutSnapped Photo Activations on-site at events to make sure operations run smoothly
  • Ensure that OutSnapped Photo Experiences and overall image output are of excellent quality
  • Solve logistical and technical problems as needed
  • Represent OutSnapped on-site at events
  • Engage event guests to participate in OutSnapped Photo Experiences.
  • Be able to explain and demonstrate how OutSnapped products work.
